Duplicate copies can be made in seconds and stored at multiple locations -- ensuring that there will always be a backup copy in the event of fire, earthquake or flood. Meanwhile, documents can be centrally stored and filed so that lost, misplaced or misfiled documents become a thing of the past. | Q: Is a scanned document a legal copy? A: Yes. A scanned document is considered a legal copy as long as it can be proven that it has not been altered. Storage on non-rewritable media, such as a CD or DVD is usually sufficient. Some document management softwares can also track a document's accessibility, use and alterations to further verify its authenticity. | A: Electronic documents are far more secure than paper documents. First and foremost, if you are thinking about scanning, you obviously place a high value on your documents. Therefore, you should know who is going to be handling them before letting them out of your sight. We feel that it is important for you to get a sense of who we are so that you can be confident that your files are in good hands. We also feel that our sales representatives can better serve you if we know what kind of office environment is using them. Finally, we would like to pick up a sample batch of documents from you that we will promptly return with a free demonstration. This sample batch will give you a better sense of our service and provide us an opportunity to customize our service to your office's needs. | Q: What do you do with my paper documents? VIA's scanning process involves three steps: - Document Preparation: We remove staples, paperclips, etc., unfold pages and reposition post-it notes in preparation for the documents to go through the scanner. Occasionally, on pages that are nearly blank, we will place a small but conspicuous stamp on a page in order to make sure that the image is captured by the scanner.
- While scanning, we use a combination of manual and automatic checks to make sure that every page is scanned and that each blank page is deleted.
